Human Resource/Payroll Clerk
Job Summary
The Human Resource/Payroll Clerk is responsible for the accurate and timely processing of weekly, fortnightly, and monthly payrolls, while ensuring full compliance with statutory obligations and internal policies. The role also includes maintaining employee records, managing benefits enrollment, and supporting payroll-related reporting and HR administrative functions. Operating in a unionized environment, the incumbent is expected to uphold confidentiality, data integrity, and a high standard of accuracy in all transactions.
Primary Responsibilities
- Process weekly, fortnightly, and monthly payrolls in a timely and accurate manner.
- Ensure statutory deductions (PAYE, HSUR) are accurately calculated and remitted by stipulated deadlines.
- Accurately process pension, credit union, and trade union deductions and submit them to the appropriate institutions.
- Verify that all leave forms are signed by both the employee and manager and reconcile with Kronos entries prior to payroll processing.
- Maintain up-to-date vacation and sick leave accrual records.
- Generate payroll-related reports to support journal entries and audits.
- Maintain and update employee records in compliance with company policies and legal requirements.
- Ensure all new hires complete mandatory “fit for work” medical assessments.
- Facilitate enrollment of eligible employees in Health, Life, and Pension plans.
- Track and manage back-pay adjustments related to delayed union negotiations.
- Prepare and submit TD4 forms for all employees by February 28 annually.
- Maintain accuracy and integrity of payroll and employee data in the payroll software and Employee Central system.
- Submit all medical and insurance claims to the health Insurance company for processing.
- Prepare ad hoc payroll and HR reports as requested by the HR Manager.
- Process raw material receipts in Oracle in accordance with operational procedures.
Secondary Responsibilities
- Assist with submitting salesman remittances and banking cheques in the absence of the Accounts Receivable Clerk.
Qualifications and Experience
- A minimum of five (5) CXC/GCE O’Level passes including Mathematics and English.
- A Certificate or Diploma in Human Resource Management, Payroll Administration, or a related field would be an asset.
- At least three (3) years of experience in a similar payroll or HR support role, preferably within a unionized environment.
- Working knowledge of payroll systems (e.g., Kronos, Employee Central, Oracle) and Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with local statutory requirements, including PAYE, HSUR, TD4s, and pension contributions.
- Strong attention to detail, accuracy in data entry, and ability to handle sensitive information confidentially.
- Excellent time management, organizational, and interpersonal skills.
