Administrative Assistant to CEO

The Secretary to the CEO’s Office provides comprehensive administrative and secretarial support in a financial environment, enabling the CEO to focus on strategic priorities. This role involves managing the CEO’s schedule, coordinating travel arrangements, handling correspondence, preparing reports and presentations, and overseeing various tasks to streamline operations while maintaining confidentiality.

Location: Port-of-Spain
Salary Range: $6,000 – $8,000 per month
Employment: Permanent

  • Managing the CEO’s calendar, including scheduling meetings, appointments and travel arrangements
  • Handling incoming and outgoing correspondences, drafting emails, letters and managing phone calls.
  • Preparing reports, presentations and other documents for meetings, presentations and general use.
  • Assisting with various office tasks, concluding managing files, supplies and equipment.
  • Has working experience with the CROS system at the Companies Registry.
  • Handling sensitive information with discretion and maintaining strict confidentiality.
  • Serving as a liaison between the CEO and other staff, as well as external contacts.

Qualifications & Experience

Associate degree in Business Administration, Management or a related field.

  • Minimum of 5 years of proficient Administrative experience.
  • Proven experience handling minute-taking and meeting coordination.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (Zoom, Teams).
  • Exceptional communication skills (written and verbal), with the ability to draft reports, and executive correspondence with clarity and impact.
  • High emotional intelligence, confidentiality, and discretion when handling sensitive business matters.
