Administrative/Technical Assistant

We are pooling for our client in the Couva / Point Lisas area for an Administrative/Technical Assistant for temporary roles

Job Summary:

To provide administrative support.

Job Requirements:

  • Organize, update, and maintain departmental records, including inspection reports, conditioning monitoring data, and maintenance logs.
  • Assist in creating and distributing monthly, quarterly and yearly performance reports.
  • Schedule meetings, and training sessions for the department, ensuring alignment with the plant’s operational schedule.
  • Manage and coordinate the department’s calendar, avoiding conflicts with other critical plant activities.
  • Maintain databases related to condition monitoring and inspection, ensuring data is accurately entered, updated and easily accessible.
  • Support data logging activities, helping input critical equipment data into monitoring software as required by engineers.
  • Draft and distribute official communication for departmental updates, safety notices and meetings.
  • Liaise between the CMI Department and other departments to ensure clear communication on ongoing projects and priorities.
  • Monitor and maintain an inventory of office supplies and equipment required by the engineering team.
  • Coordinate with procurement for the timely ordering of necessary materials and ensure compliance with the plant’s purchasing guidelines.
  • Downloading codes, standards and technical journals from the Information Handling Services (HIS) software.
  • Assist in managing work orders, ensuring necessary follow-up actions are recorded and communicated to relevant teams.

Qualification and Experience:

  • Three (3) to five (5) years working experience as an Administrative Assistant in a plant environment.
  • Diploma or Degree in Business Management or related discipline AND at least five (5) CXC/O Level passes including Mathematics and English Language.
  • Proficient in Ms Office 365 inclusive of Word, Excel, PowerPoint and related Ms applications.
  • Highly desired: experience with the following software: Action Item Management System (AIMS), Information Handling Software (HIS); Enterprise Resource Planning software (JD Edwards).

  • Ability to operate in a fast-paced, performance driven environment.
