Administrative Assistant
Job Description
The Administrative Assistant assists the Country Manager with all Administrative duties- ensuring statutory payments are made on time, employee records are kept updated, forwarding payroll information; all filing and any other duties he may require. She also generates Production Orders; Invoices and Delivery Notes in a timely manner to ensure customer satisfaction, interaction with the Marketing Representatives is vital to this process. The Administrative Assistant is responsible for scanning and filing all customer documentation and is the person mainly contacted if there are any queries with regards to any of the above. The Administrative Assistant works alongside, and reports all matters to the SMRI Support Agent located at Head office, Trinidad and Tobago.
Job Responsibilities
•Assisting the Country Manager and SMRI Support Agent with Administrative Duties such as but not limited to, following up to ensure Statutory payments are made on time, keeping employee files updated, forwarding payroll information, attendance registers, overtime, leave forms and ALL Administrative filing
•In charge of the P/Cash Float and preparing timely reimbursements
•Generate Production Orders for the Country Manager to approve
•Once Production is complete -generate Invoices, Delivery Notes and Customer Ledgers to present to the Country Manager for approval to deliver
•Preparing Receipts/Deposits Reports and making bank deposits daily, email to Finance Dept. daily
•Update the Production Order Tracker real time
•Preparing Requisitions
•Scanning and filing all Production Orders and Customer Packages
•Monitor Accounts Receivables and follow up on outstanding balances- report to Country Manager/ SMRI Support Agent
•Emailing documents to support staff in Trinidad as required
•Respond to any queries from support staff in Trinidad promptly
•Perform all duties with due care and diligence
•Any other duties assigned by Management
Job Requirements
•Minimum of three (3) CXC subjects, inclusive of Mathematics and English
•Computer literacy with a strong working knowledge of Microsoft Office (Word, Excel, PowerPoint) and or Sage 50
•Exceptional verbal and written communication skills
